Zero-Tolerance Policy

We have a zero-tolerance policy for spam and abusive email practices.

InboxIQ is committed to maintaining the highest standards of email deliverability and protecting the reputation of our platform and our customers. Spam not only violates laws and regulations but also damages sender reputations and undermines trust in email communications.

By using InboxIQ, you agree to comply with all applicable anti-spam laws including the CAN-SPAM Act (USA), GDPR (EU), CASL (Canada), and local Zimbabwe regulations.

2. Definition of Spam

Spam includes, but is not limited to:

  • Unsolicited bulk email (UBE) or unsolicited commercial email (UCE)
  • Emails sent to recipients who have not explicitly opted in
  • Emails sent to purchased, rented, harvested, or third-party email lists
  • Emails sent after a recipient has unsubscribed or opted out
  • Emails with deceptive subject lines or false header information
  • Emails without a clear and functional unsubscribe mechanism
  • Emails sent at excessive frequency that recipients did not expect
  • Any email that violates anti-spam laws or regulations

3. Permission-Based Email Requirements

3.1 Explicit Consent

All email recipients must have explicitly consented to receive emails from you. Acceptable consent methods include:

  • Double opt-in confirmation (recommended best practice)
  • Checked subscription boxes on website forms
  • Written or verbal consent with clear documentation
  • Existing business relationships (with proper disclosure)

3.2 Unacceptable List Sources

The following list acquisition methods are strictly prohibited:

  • Purchased or rented email lists
  • Harvested or scraped email addresses
  • Third-party email lists without verified opt-in
  • Co-registration lists without explicit consent

4. Email Content Requirements

Accurate Header Information

All emails must have accurate "From," "To," "Reply-To," and routing information. Sender name and email address must reflect the true identity of the sender.

Clear Subject Lines

Subject lines must accurately reflect the content of the email. Deceptive or misleading subject lines are prohibited.

Physical Mailing Address

Every marketing email must include a valid physical postal address of your business.

Clear Unsubscribe Link

All marketing emails must include a clear, conspicuous, and functional unsubscribe link that processes requests immediately.

5. Prohibited Content

InboxIQ strictly prohibits sending emails containing:

Adult Content
Pornography or explicit materials
Malware/Viruses
Malicious code or software
Phishing
Identity theft attempts
Illegal Goods
Drugs, weapons, counterfeit items
Hate Speech
Discriminatory content
Fraud/Scams
Deceptive schemes

6. Monitoring and Enforcement

InboxIQ actively monitors accounts for compliance. We track:

Bounce Rates
Should be < 5%
Complaint Rates
Should be < 0.1%
Engagement
Open & click rates

If your account shows signs of spam activity or violates this policy, we may take immediate action including account suspension, termination, or reporting to authorities.

7. Consequences of Violations

Violations of this Anti-Spam Policy may result in:

Warning & Account Review
First-time minor violations
Temporary Suspension
Repeated or moderate violations
Permanent Termination
Serious violations, no refunds
Legal Action
Reporting to authorities for illegal activity

8. Best Practices

To maintain a healthy sender reputation and ensure deliverability:

  • Use double opt-in for new subscribers
  • Regularly clean your email lists (remove inactive subscribers)
  • Segment your audience for targeted, relevant content
  • Set proper email authentication (SPF, DKIM, DMARC)
  • Monitor your metrics and address issues promptly
  • Provide value in every email you send
